You may already be familiar with flagging emails and creating tasks, but sometimes those actions aren’t enough to help you figure out what needs to be done. This is where categories come in handy. By assigning a category to a task, you can prioritize your work and make it easier to see what needs to be done at a glance.

To get started, you’ll need to create categories in Outlook. By default, there are six colors to choose from, but there are actually 25 different colors you can use. You can also rename the categories to fit your needs.

Once you’ve created your categories, you can assign them to your tasks. For example, if you have a task related to marketing, you can assign it to the “marketing” category. You can also assign multiple categories to a task if needed.

The real power of categories comes when you use the different views in Outlook to organize your tasks. Instead of viewing your task list by due date, you can change it to view by category. This allows you to see all of the tasks related to a specific category at once. For example, you can view all of your phone calls, presentations, or client touch points in one place.

By grouping your tasks into specific categories, you can be more productive and efficient with your time. This is a technique that is often recommended in the book “Getting Things Done” and can really make a difference in how you manage your tasks.

So, the next time you’re feeling overwhelmed by your to-do list, try using categories in Outlook to help you prioritize and organize your work. We hope this tip was helpful and stay tuned for more task management tips coming your way!
